How a search actually runs
- The brief, in detail. Not a job description — the shift pattern, the population, who the person reports to, what made the last hire leave, and what you can and cannot flex on.
- An honest read on the market. If the salary or the shift pattern will not attract the person you are describing, you hear it in the first conversation, not after six weeks of silence.
- Search and approach. Our own network of healthcare professionals across Ontario, plus active sourcing. Many of the strongest candidates are not applying to anything.
- Screening before you see anyone. Registration and standing confirmed at source where the role is regulated, references spoken to, eligibility to work in Canada checked, and a vulnerable sector check reviewed.
- A short list, with reasons. Three or four people we would defend, with what concerns us about each one written down. A list of twelve is a way of moving the decision onto you.
- Offer and start. We manage counter-offers and notice periods, and we stay in contact through the first weeks, which is when most healthcare hires actually fail.
The route most people should take: try before you hire
A permanent healthcare hire is a judgement made from an interview. An agency assignment is a judgement made from watching someone work your floor.
If you already use us for temporary shifts, converting a worker you have seen on your unit for six weeks is a far better bet than a candidate who interviewed well. It also gives the worker the same information about you, which is why conversions tend to stay.
Agree the conversion terms at the start of an assignment, in writing, not once both sides are attached. Any agency that will not put that in the original agreement is relying on the awkwardness of the conversation later.
What it costs, and what to ask for in writing
Our fee is paid by the employer, and it is quoted before the search starts.
Permanent placement fees vary by role, seniority and how hard the market is for that position in your region, so we quote per search rather than publishing a percentage that would be wrong for most readers. Ask us for the number before you brief us, and ask us to explain it.
Two things worth insisting on from any healthcare recruiter, including us: the replacement or guarantee terms if the hire does not last, and the conversion terms if the person came to you first as an agency worker. Get both in the agreement you sign rather than in an email you will have to find later.
Questions from hiring managers
How long does a search take?
It depends entirely on the role, the region, the shift pattern and the pay. We will give you a realistic window at the brief, and we will tell you when the answer is that the role as written will not fill.
Do you work exclusively, or alongside other agencies?
Both, and we will be straight about the trade-off. Exclusive searches get more of our time and a cleaner candidate experience; open searches get more names faster and a worse one.
Do candidates pay you anything?
No. Our fee is paid by the employer.
Can you recruit for a private family rather than a facility?
Usually the better fit there is our own care team rather than a hire you have to manage, screen and cover. Home care services
Do you recruit outside Ontario?
Our licence and our depth are in Ontario. Ask us before assuming coverage elsewhere.
What if the hire does not work out?
Ask us for our replacement terms in writing before you sign, and hold us to them. We would rather you had that in the agreement than take an assurance from a sales conversation.
